We introduce ourselves, explain the change in management, provide our contact details, and confirm where rent should be paid from the handover date. Professional, reassuring, seamless.

Management begins

From the handover date, we're fully responsible. Rent collection, maintenance, compliance, contract holder queries—all handled. You get your first statement at the end of the month.

How long does it take to switch letting agents?
Most switches complete within two to four weeks. The main variable is your current agent's notice period—typically 30 days to 3 months depending on your contract. We start the handover process as soon as you give notice.
Will switching disrupt my contract holder?
No. The occupation contract continues unchanged. We write to your contract holder explaining the change, provide our contact details, and reassure them of continuity. They simply have a new point of contact for rent payments and queries.
What documents do I need from my current agent?
Your current agent should hand over: the occupation contract, inventory and check-in report, deposit protection certificate and prescribed information, gas safety certificate, EICR, EPC, keys, and any correspondence. We chase these if they're slow to provide them.
What happens to the deposit when I switch?
The deposit stays protected in the same scheme. We update the scheme records to show we're now the managing agent. No money needs to move, and the contract holder's protection continues uninterrupted.
Can I switch mid-contract?
Yes. You can switch agents at any point during an occupation contract. The contract holder's rights and the terms of their contract remain exactly the same—only the managing agent changes.
What if my current agent won't cooperate with the handover?
This is rare, but we handle it. We have processes for obtaining documents directly (gas certificates from Gas Safe, deposit details from schemes) and can arrange new keys if necessary. Difficult handovers just take slightly longer.
Do I need to tell Rent Smart Wales?
No. Your landlord registration stays the same. If you were using your previous agent's licence for management activities, our licence now covers those activities instead. You don't need to do anything with Rent Smart Wales.
What notice period does my current agent need?
Check your management agreement—notice periods typically range from 30 days to 3 months. Some agents have tie-in periods that must expire first. We can review your contract and advise on the fastest route to switching.
Will there be a gap in rent collection?
No. We coordinate the handover so rent collection continues seamlessly. We agree a specific date with your current agent when responsibility transfers to us, ensuring your contract holder knows exactly where to pay from that date.
What if I have multiple properties with different agents?
We can consolidate everything under one management. Many landlords prefer having all properties with one agent for simpler accounting and consistent service. We handle each handover separately but coordinate the timing to suit you.
Are there any fees for switching to you?
No switch fees. Our standard management fees apply from the handover date. We don't charge setup fees for properties with existing contract holders—you're not paying twice for work already done.
What if I'm unhappy with you after switching?
We work on rolling contracts with reasonable notice periods. If we don't deliver, you can leave. We'd rather earn your business month by month than lock you into a contract you can't escape.
